MINUTES OF THE EVENTS COMMITTEE MEETING

Held on Thursday, 27 February 2025 at 10.00am at the

Church Hall, Church Lane, Chapel St Leonards.

 

Present:  Cllr S. Whitmore (Chair), Cllr P. Robinson, Cllr C. Briggs and Cllr B. Holmes.

In attendance:  Cllr D. Wilson and Sue Parr

Absence:  Cllr P. Hamilton

Assistant Parish Clerk:  Mrs. V.A. Worley

 

EC01/02-25     Chair’s welcome.

Cllr S. Whitmore (Chair) welcomed everyone present to the meeting and thanked them for attending.

EC02/02-25     Apologies for absence

Cllr P. Hamilton.

EC03/02-25     Declaration of pecuniary interests not already registered and to consider any dispensations.

None received.

EC04/02-25     To receive and approve the draft minutes of the Events Committee Meeting held on 16 January 2025.

Minutes were approved by Events Committee unanimously and signed by Cllr S. Whitmore (Chair).

EC05/02-25

Cllr S. Whitmore distributed minutes from the Working Party meeting held on 28 January 2025.  There was a discussion about VE day. 

  1. Sue Parr will organise food in the kitchen at the Village Hall.  Sue does a lot of work at the Village Hall.
  2. The back room at the Village Hall will be full of various stalls.
  3. There was a suggestion that The St Leonards Parish Council would like to contribute by providing tea and milk and give something back to the community, but Sue Parr stated that this was not necessary.  They suggested that if there was a charge for the kitchen, the Council would pay. 
  4. There will be no charge for stallholders
  5. Sue Parr will provide tablecloths.
  6. The VE event will be open at 11.00am until 4.00pm.
  7. Flags for the tables.
  8. Meeting on the day at 9.00am to put the tables out.  Three people will start to decorate.
  9. Cllr Beth Holmes is organising classic cars and for back-up a display of bikes if classic cars are unavailable.  She will also advertise on Facebook.
  10. Children’s fancy dress at 12.45pm.
  11. Adult fancy dress at 2.15pm.
  12. Cllr Pam Robinson to contact CCllr Colin Davie to ask him if he could judge the fancy dress competition
  13. Cllr Pam Robinson and Cllr Sue Whitmore to visit the Hub on Monday morning at 9.30am to look for bunting and Union Jack flags.
  14. Advertise event on notice boards
  15. Design a banner.
  16. Cllr Beth Holmes will hear from Blake later with regard for him to provide the music. 11.00am to 1.00pm and 2.00pm to 4.00pm
  17. Music by Creaking Bones 1.00pm to 2.00pm.
  18. It was a suggestion to ask the ladies’ choir.
  19. Ice cream.

 

The next Working Party for VE Day will be held on 11 March 2025 at 10.30am at the Village Hall.

EC/06/02-25     Discuss Summer Festival

The date for the Summer Festival will be 23-24 August – 10.00am to 4.00pm. Stalls are £30.00 payable to Parish Council Office.  Stallholders Form provided.

There was a discussion of people to contact:

  1. Provisionally booked stage.
  2. Steve Greenwood – Singer.
  3. Let’s 80.
  4. Bungee.
  5. Rides.
  6. Bouncing castle.
  7. Face painting and braids.
  8. Horses?
