MINUTES OF THE MEETING OF THE EVENTS COMMITTEE
Thursday 16 May 2024 at 10:00AM at the
Church Hall, Church Lane, Chapel St Leonards
Present: Cllr S Whitmore, Cllr P Robinson, Cllr P Hamilton, Cllr B Holmes, Cllr G Briggs

Cllr Whitmore welcomed the committee to the meeting.
EC20/05-24 Apologies for Absence
None.
EC21/05-24 Declarations of Interest
None.
EC22/05-24 To resolve as minutes the record of the meeting held on 18 April 2024
The minutes were RESOLVED and signed by the Chair.
EC23/05-24 To discuss and RESOLVE the issue around microphone type and purchase for our various events.
It was RESOLVED that the Proper Officer would purchase wireless microphones.
EC24/05-24 To discuss update on the D-Day Commemoration Event at the Village Hall

Update on numbers - 77 people confirmed so far, with 3 more possibles.

Access to the Village Hall – from 12.00 for volunteers to dress the village hall, decorate tables and prepare food. Access to guests from 3.00pm onwards.

Update on raffle prizes – these will be wrapped by volunteers next Thursday. There will also be packs of fruit for each guest to take home with them consisting of orange, apple, banana, pears and grapes.

Update on entertainment – the Ukelele band will play from 4.30-5.30pm and a CD player will play music of the era for the rest of the time. It is hoped that the programme for the afternoon will be as follows:
Arrival of guests, greeted with a cup of tea/coffee 3.00-3.30pm
Music playing 3.30pm onwards
Chair’s Welcome and speech 3.45pm followed by more music
Afternoon tea and sandwiches, cakes served at 4.00pm onwards
Music by Creaking Bones Ukelele Band 4.30-5.30pm
Raffle 5.30pm onwards and closing speech and acknowledgements by the Chair, to be decided and discussed at the working party meeting 30 May 2024.
Cllr Holmes will contact the Skegness Standard and invite them to write an article on the event.
EC25/05-24 To discuss Fireworks at our Summer event.
Admiral Benbow Bar has received an invoice for £3,000 including VAT for the firework display at the summer event, there is an option to increase the amount and increase the display by a few more minutes.
It was RESOLVED that the display be kept the same as last year and that the Parish Council pay the 50% totalling £1,500.
The Clerk will send out invoices to all stall holders who are attending the summer event by the end of May 2024.
EC26/05-24 To resolve the date of the next Events committee meeting.

It was further discussed and RESOLVED to hold a Working Party Meeting on Thursday 30 May at Il Gusto’s at 10.00am to discuss any last-minute changes and updates for the D-Day Commemoration Event at the Village Hall
Having concluded the agenda, the meeting was adjourned at 10:50am.
