MINUTES OF THE MEETING OF THE EVENTS COMMITTEE

Wednesday 06 March 2024 at 12:30PM at the

Church Hall, Church Lane, Chapel St Leonards

EC10/03-24 Chair’s Welcome

Cllr Whitmore welcomed the committee to the meeting.

EC11/03-24 Apologies for Absence

 

Apologies were received from Cllr Jude & Cllr C Briggs.

 

EC12/01-24 Declarations of Interest

 

None.

 

EC13/03-24 To resolve as minutes the record of the meeting held on 23 January 2024

 

The minutes were RESOLVED and signed by the Chair.

 

 

EC14/03-24 To receive an update on the D-Day party event.

 

    1. Flags and bunting

Official D-Day flags have been purchased and will go up at the village Hall and flag poles around the village. There is existing bunting that can be used around the Village Green and Cllr Whitmore has ordered extra bunting for the Village Hall.

    1. Food

All going well with sandwich supplies provided by Chapel St Leonards Spar with various fillings of the era, traybake cakes, sausage rolls and nibbles.

    1. Room times

3:30-6:30pm at Chapel St Leonards Village Hall. There are 49 positive responses with more to come with a possibility of 70 ladies and gentlemen attending, once all the acceptances are received it will be decided whether to open the event up to under 80-year-olds. Each ticket will be numbered and automatically entered into a free raffle. It was further suggested that waiting staff and helpers dress up in pinafores and headgear of the era, this will be discussed further at the next meeting.

    1. Entertainment

Local villager and fund raiser, Mick Mangham will let the committee know if he has a 1940’s style female singer to entertain at the event. There will be music of the era playing softly in the background. There is another possible act that will be contacted, Lesley & Tracey from the Village Hall to entertain on the day.


 


 


 


 


 

EC15/03-24 To discuss the Remembrance Day event.

 

  1. Remembrance Day Posters

These have been updated by the Proper Officer and will be displayed nearer the time.

  1. Wireless Microphone for Remembrance Day Service

The proper Officer will look into buying a wired microphone for the event as there is too much interference when using a wireless microphone. This purchase will be used for all events provided by the Parish Council.

 

 

EC16/03-24 To receive an update on the Family Fun Weekend event.

 

  1. Trampolines and wrestling - Both organisers have confirmed they will be attending.

  2. Stalls – All stalls are sold out with two proprietors on the waiting list.

  3. To discuss fireworks – It was RESOLVED that fireworks will take place as in previous years and that the Parish Council will pay 50% of the costs and the other 50% paid by Benbows Bar.

  4. Cllr Whitmore is waiting for Blue Anchor to confirm their attendance at the event.

 

EC17/03-24 To have further discussions about the Christmas event.

 

It was RESOLVED that the Christmas Event be moved to Saturday mid-afternoon, Saturday 30 November from 3:30-6:30pm with the lights switched on at 4pm. The Chair of the Parish Council will conduct the event with the lights switch on and lights competition winner announcement. Further discussion on timings will take place at the next meeting with consideration to carol singing and lighting.

 

EC18/03-24 To resolve the date of the next Events committee meeting.
