DRAFT MINUTES OF THE MEETING OF THE EVENTS COMMITTEE
Tuesday 23 January 2024 at 11:30AM at the

EC1/01-24 Chair’s Welcome
Cllr Whitmore welcomed the committee to the meeting.
EC2/01-24 Apologies for Absence
           
Apologies were received from Cllr Jude.
 
EC3/01-24 Declarations of Interest 
 
None.
 
EC4/01-24 To resolve as minutes the record of the meeting held on 30 October 2023
 
The minutes were RESOLVED and signed by the Chair. 
 
 
EC5/01-24 To discuss the Remembrance Day event.
 
a. Adjustments to the Service
Ensure that the sound system is placed somewhere other than in front of the memorial; use a wireless microphone going forward.
 
b. Adjustments to the Service programme
The programme was updated to reflect the correct order of service and to delegate certain readings to others to take pressure off of the celebrant.
 
 
EC6/01-24 To discuss the Christmas event. 
 
a) Discussion of the Children’s choir for 2024
b) Discussion of 2024 lighting overall
 
After a lengthy discussion, the committee proposed moving the event to a Saturday mid-afternoon and making it a more community inclusive event such as a Carols Around the Tree, using sing along backing tracks and songbooks. Initial thoughts are to hold the event on Saturday 30 November from 3:30-6:30pm with the lights switched on at 4pm. Santa’s grotto will be present, as always, and the lights competition for the village businesses will also go ahead.
 
EC7/01-24 To discuss a new event for Seniors at the Village Hall
 
The Chair proposed a D-Day Commemorative event for Seniors at the Village Hall on 6 June 2024. The committee agreed it was a good idea and that tickets would be essential to ensure the capacity of 100 was not exceeded. The idea of an afternoon tea style event, perhaps with a 40’s singer and dancing, was discussed. The Proper Officer is to follow up on bunting and flag needs with the previous supplier, Kreative Bunting. This event will be discussed in much more detail at the March committee meeting.
 
EC8/01-24 To hear news from the Administration Committee regarding a request from the Carnival Committee
 
The committee were advised that the Administration Committee will be preparing a terms and conditions specific to the Green hire and that the Carnival Committee’s request was refused.
 
EC9/01-24 To resolve the date of the next Events committee meeting.
 
Resolved as Wednesday 6 March 12:30pm
