MINUTES OF THE MEETING OF THE EVENTS COMMITTEE
Thursday 18 July 2024 at 09:00AM at the
Church Hall, Church Lane, Chapel St Leonards
Present: Cllr S Whitmore (Chair), Cllr P Robinson, Cllr P Hamilton, Cllr B Holmes, Cllr C Briggs

Cllr Whitmore welcomed the committee to the meeting.
EC36/07-24 Apologies for Absence

EC37/07-24 Declarations of Interest
None.
EC38/07-24 To resolve as minutes the record of the meeting held on 27 June 2024
The minutes were RESOLVED and signed by the Chair.
EC39/07-24 To discuss update on the Summer Festival

Microphones purchased – the Proper Officer had purchased these as per the previous months resolution and presented them in the original packing, Cllrs confirmed they were correct and confirmed they worked.

Stalls Update – It was confirmed that there were twelve stalls confirmed for Saturday 24 August 2024 and fourteen confirmed for Sunday 25 August 2024.

Quotes from First Aiders – The Proper Officer presented three quotes as requested by the Committee, it was unanimously RESOLVED to use St Johns Ambulance staff for the event based on their reputation, previous service and competitive pricing.

Banners and posters – the banner was presented by the Proper Officer and the Cllrs approved this was correct. It was unanimously RESOLVED that the banner could be displayed on the village green and Chapel Point, this can go alongside the Carnival banner when they put theirs up. Proper Officer to send poster to Cllrs for printing.

Chairs – the chairs for the event will be ready to pick up from the school between 7am-3pm on Friday 23 August, Proper Officer to arrange this.

Wrestling setting up – the Proper Officer will inform Lion Wrestling that they may set up from 7:30am on Saturday 24 August 2024.

Carnival hire of the green cost – at the discretion of the Events Committee it was RESOLVED to make a donation of £150.00 to the Carnival Committee, the Proper Officer is to action this.

Use of Memorial Green – the Carnival Committee requested the use of the Memorial Green for a first aid vehicle/tent, unfortunately this is not possible due to the Road Traffic Act 1998, nothing is to obscure the view for traffic entering/leaving a roundabout.
EC40/07-24 ITEMS DISCUSSED THAT WERE NOT ON THE AGENDA:

Rota for summer festival – discussed and the Chair would get back to other Cllrs with a timetable.

High-vis jackets – these are to be purchased in orange with councillor on the back ten in total.

Lanyards – to be purchased for the new councillors.
EC41/07-24 To resolve the date of the next Events committee meeting.
RESOLVED as Thursday 22 August 10.00am, Church Hall.
