MINUTES OF THE MEETING OF THE EVENTS COMMITTEE

EC50/08-24 Chair’s Welcome
Cllr Whitmore welcomed Councillors to the meeting.

EC52/08-24 Declarations of Interest
None.
EC53/08-24 To resolve as minutes the record of the meeting held on 22 August 2024
The minutes were RESOLVED and signed by the Chair.
EC54/08-24 To discuss the Summer Family Fun Festival & ideas for 2025
The weather was inclement on Saturday, Sunday was very windy. Many gazebos broke. The Councillors’ gazebo was the first to break, and the operatives were not available on the emergency phone line. The Clerk is to ensure that the emergency phone and operatives are available on event days.
There has been an offer to have children’s rides on the green midway through the six-week holiday. Cllr Whitmore is to report back to the Committee with further details. The Clerk had an enquiry regarding the provision of donkey rides. She is to report back with details at the next committee meeting.
EC55/08-24 To discuss Remembrance Day Service, new participants and signs
The Clerk has ordered the large poppies for the lamp posts and also ordered three wreaths. The lay preacher is not well enough to conduct the service this year. Cllr Whitmore has secured three volunteers to conduct the service, Chair of Chapel St Leonards Parish Council, Chair of Parochial Parish Council, and Mr Peter Jude.
The program is to be confirmed by the Events Committee, the Clerk will send the Chair of this committee a draft copy.
The loudspeakers are to be placed either side of the bell tower, with Abide With Me playing in the background.
EC56/08-24 Microphones
The Clerk is to deliver the microphones to Cllr Whitmore in order for the Councillors to practice their delivery of the Remembrance Day Service.
EC57/08-24 Christmas Light Switch On/date/tree/order of happenings
The date for the Christmas Light switch-on is Friday 29 November 2024. The Clerk is to order the tree. The Clerk is to test if the lights are working and order replacements if necessary.
The running order of the evening has been deferred to a Working Group meeting to take place on Thursday 10 October 2024 at 10:00, Church Hall.
EC58/08-24 To discuss Andy and Stage
Cllr Whitmore spoke with Andy (Little Stage) and he advised that he could help with any events due to his numerous contacts, Cllr Whitmore will meet with him and discuss this further.
EC59/08-24 Budget update
Unfortunately, this was not possible as the Scribe finance portal had closed for maintenance work. This will be updated at the next meeting.
EC60/08-24 Future Events:
1940s Weekend – It was decided that this could turn into a massive event and therefore a vintage weekend would be more appropriate. Prices start from £2000 for the stage, the use of the amphitheatre for the singers is to be investigated. The Village Hall could have classic/vintage cars in the grounds and inside the Village Hall, teas and coffees could be served. This would be a community event, with all working together as a team. To be updated at the Working Group meeting.
Children’s Christmas party – This item has been deferred to the Working Group.
