MINUTES OF THE MEETING OF THE EVENTS COMMITTEE

Thursday 31st October 2024 at 11.00am at the

Church Hall, Church Lane, Chapel St Leonards 

 

Present:        Cllr S Whitmore (Chair), Cllr P. Robinson, Cllr P. Hamilton, Cllr C. Briggs

EC01/10-24  Chair’s Welcome.

                 Cllr Whitmore welcomed Committee Members and everyone present to the meeting and thanked them for coming.

EC02/10-24 Apologies for absence

Apologies received from Cllr B. Holmes.

EC03/10-24 Declaration of Pecuniary Interests not already registered and to  consider any dispensation.

None received.

EC04/10-24 To resolve as minutes the record of the meeting on 26 September 2024.

The minutes were approved.                                        

EC05/10-24 Copy of up-to-date Budget for Events.

It was explained that there had been a lack of internet connection, but as soon as this is rectified this will be send to Committee Members.

EC06/10-24  Emergency phone number and why used for just events.

The Proper Officer will let everyone know when we receive a new number.  This will be used when we are not in the office and to reach the Operatives.

EC07/10-24 Remembrance Service

  1.  Lamp post poppies arrived?

The lamp post poppies arrived.  They have been placed all

round the village and compliments have been given of how nice

they look on the lamp posts and gates and posts around the church.

  1. Dates earmarked for operatives to decorate the village

wreaths arrived?

The wreaths will arrive at Cllr P. Robinson’s address.

  1. Practice date.

The practice date is 31 October 2024.  Cllr S. Whitmore and an 

Operative will check microphones and test equipment.

EC08/10-24    Discuss Events Working Party notes and agree them.

  1. Date.  

  

  1. Tree.  

Proper Officer has ordered a tree. Lights checked. Metal

Barrier around Christmas tree.

  1. Children.  

A grey safety fence for children singing and choir.

Singing at 4.30pm.

  1. Stalls.  

Gazebos down one side each have a lamp.  One for mulled wine, one for sit-in and one for music.

  1. Mulled wine.  

Spar donates. Cllr P. Robinson and husband.

  1. First Aid.  

Mrs A. Maynard will attend.

  1. Posters.  

These will be produced. Inform shops to stay open.

  1. Village Business Lights Competition.  

Leaflet for competition Mrs A. Maynard is organising.  To ask litter pickers to judge competition on 29 November 2024.

  1. Santa’s Grotto.  

Santa to put up gazebo.  Presents for children – received.  Selection boxes – not sure of the amount for back-up.

Suggested researching and buying glow-sticks for the children.

Elf helper is organised.  Deciding on hay bales.

EC09/10-24 Tree delivery. 

Organised by Mrs A. Maynard, Proper Officer. Lights checked.

EC10/10-24   Meeting with Mark (Operative) to discuss the gazebos and  Electricity.

Cllr S. Whitmore to meet with Mark after Committee Meeting on   31st October 2024.
