MINUTES OF THE MEETING OF THE EVENTS COMMITTEE
Thursday 27 June 2024 at 10:30AM at the
Church Hall, Church Lane, Chapel St Leonards

Cllr Whitmore welcomed the committee to the meeting.
EC28/06-24 Apologies for Absence
None.
EC29/06-24 Declarations of Interest
None.
EC30/06-24 To resolve as minutes the record of the meeting held on 16 May 2024
The minutes were RESOLVED and signed by the Chair.
EC31/06-24 To discuss and RESOLVE the issue around microphone type and purchase for our various events.
The Proper Officer presented three quotes for microphones, and it was RESOLVED to purchase the items from Electromarket price £139.00
EC32/06-24 To discuss update on the Summer Festival

Acts confirmed and prices – all acts with the exception of Let’s Eighties confirmed so far, Cllr Whitmore will try to make contact with Let’s Eighties The Superstars will be on stage for 30/40 minutes from 2.30pm on the Sunday. The silver band and ukelele band require seating, 26 folding chairs in total, Cllr Briggs will ask the school if they supply them, and we would give a donation to the PTA.

Stalls Paid – three stalls have paid the deposit, balance due 31 July 2024.

Insurance – these will be wrapped by volunteers next Thursday. There will also be packs of fruit for each guest to take home with them consisting of orange, apple, banana, pears and grapes.

Risk Assessment – this has been completed and actioned by the Proper Officer.

Police notification - this has been completed and actioned by the Proper Officer.

First Aid provision quotes – the Proper Officer is to obtain three quotes.

Posters and banner – It had been RESOLVED that Cllrs Whitmore and Holmes print the posters at home as there will be only A4 posters and few of them. The banner is to be updated and ordered by the Proper Officer.
EC33/06-24 Donation to Creaking Bones
It was RESOLVED that a donation of £50 be made to Creaking Bones for their wonderful performance at the D-Day event, the Proper Officer has raised a cheque to be signed and delivered.
EC34/06-24 To resolve the date of the next Events committee meeting.
RESOLVED as Thursday 18 July 09.00am.
Having concluded the agenda, the meeting was adjourned at 11:28am.
