MINUTES OF THE MEETING OF THE EVENTS COMMITTEE

Thursday 18 April 2024 at 10:00AM at the

Church Hall, Church Lane, Chapel St Leonards


 

Present: Cllr P Robinson, Cllr S Whitmore, Cllr P Hamilton, Cllr C Jude, Cllr B Holmes, Cllr C Briggs

EC01/04-24 To elect a Chair for the Events Committee for the ensuing Year 2024/25

Cllr B Holmes nominated Cllr S Whitmore for Chair of the Events Committee and Cllr C Briggs seconded the nomination, it was unanimously approved by all Cllrs. It was RESOLVED that Cllr S Whitmore be Chair of the Events Committee for 2024/25.

EC02/04-24 Chair’s Welcome

Cllr Whitmore welcomed the committee to the meeting.

EC03/04-24 Apologies for Absence

 

No apologies were received.

 

EC04/04-24 Declarations of Interest

 

None.

 

EC05/04-24 To resolve as minutes the record of the meeting held on 06 March 2024

 

The minutes were RESOLVED and signed by the Chair.

 

EC06/04-24 To discuss the Remembrance Day event.

 

  1. Adjustments to Remembrance Day microphone provision

 

It was discussed at length the type of microphones we may need for our events, and this will be discussed further and RESOLVED at our next meeting.

 

EC07/04-24 To receive an update on the D-Day party event.

 

    1. Update on numbers

There are 75 people attending to date.

    1. Flags and bunting

Official D-Day flags will go up at the village Hall and flag poles around the village. There is existing bunting that will be used around the Village Green.

    1. Discuss and update on food and table decorations

Cllr Whitmore has given a list of foods to be purchased and we have had donations from Chapel St Leonards Spar and Co-op. Cllr Whitmore has many volunteers for assembling and serving food and Cllr Whitmore will organise the people on the day.

    1. Update on raffle prizes

It is hoped that each person will receive a prize and therefore more prizes are needed.

    1. Entertainment

Local village Ukulele players, Creaking Bones will be playing appropriate music of the era at the event. There will be music of the era playing softly in the background.

    1. Discuss help that is need on the day

  1. There will be plenty of help in the kitchen, and setting out the room will be completed by the operatives and the rest of the council staff will be on duty for the whole event as will all the Cllrs.

  2. Additional helpers that volunteer please go through Cllr Whitmore.

EC08/04-24 To receive an update on the Summer Event re: Superstars.

Cllr Whitmore confirmed the Superstars will be attending on the Sunday at 2:30pm.

 

 

EC09/04-24 To resolve the date of the next Events committee meeting.
