MINUTES OF AN EXTRAORDINARY MEETING 
OF THE CEMETERY COMMITTEE
Wednesday 12th July 2023 at 10:00am at the 
Village Hall, Sea Road, Chapel St Leonards

CC1/07-23 Chair’s Welcome
The Chair welcomed the 5 members of the Parochial Church Council (PCC) to the meeting and introduced the Parish Council (PC) representatives.

CC4/07-23 To liaise with the Parochial Church Council to determine the next steps regarding upkeep of the Churchyard and sharing of expenses. 
 
The Chair closed the meeting at 10:02am to allow open discussion with the PCC representatives. The PCC informed the PC that our letter dated 28 June 2023 had been received and discussed. The PCC communicated that the had resolved to accept the points as laid out herein:
 
• The PC will forgive the past expenditure.
• The PCC will pay the PC £1302 for their share of the current season’s grounds maintenance, covering 01 April 2023 through 31 March 2024, inclusive. Beginning 01 April 2024, the PC will invoice the PCC for the annual cost. The Deputy Clerk will raise an invoice and send it to the PCC Treasurer. 
• The PC will pay for an annual tree survey to be carried out.
• The PCC will pay for any tree maintenance required within the boundary of the Churchyard and the PC will pay for any maintenance required within our lawned cemetery boundaries. 
• The 2004 shared footpath agreement is recognised as valid and in force. The Deputy Clerk will send the PCC Secretary a copy for the PCC records. 
• The PC’s office staff will undertake the gathering of any quotations/tenders necessary for both sides to discharge their responsibilities. 
 
The chair re-opened the meeting at 10:45am and the Committee RESOLVED that the Deputy Clerk will send a Memorandum of Understanding to the PCC summarising the details above.
 
There being no other business, the meeting was closed at 10:48am.
