MINUTES OF THE MEETING OF THE EVENTS COMMITTEE
Friday 21st July 2023 at 10:11am at the
Village Hall, Sea Road, Chapel St Leonards
Present: Cllr P Robinson, Cllr S Whitmore, Cllr C Seabrooke, Cllr P Hamilton, Cllr R Christie-Smith

EC1/07-23 Chair’s Welcome
Cllr Whitmore welcomed the committee to the meeting.
EC2/07-23 Apologies for Absence
Cllr C Jude and F Doko sent apologies via the Chair.
EC3/07-23 Declarations of Interest
None.
EC4/07-23 To resolve as minutes the record of the meeting held on 23rd June 2023
The minutes were tabled for approval in August due to an error in absence notation.
EC5/07-23 To discuss and receive a final update on the Summer Festival
1. An update was received on the stall bookings, which are now oversubscribed with only two needing to provide proof of insurance, the entertainment and activities. Concerns were raised regarding the wrestling ring being set up and taken down whilst the festival was open to the public; the Deputy Clerk will look into these particularsThe daily programme of events, as emailed previously to the committee, was RESOLVED for print.
2. The committee members took leaflets to distribute in the village; two A3 posters were placed into the Council noticeboards.
3. The committee RESOLVED the bunting to be erected as soon as possible and then taken down during the week of 4th September.
4. The rota was distributed with the comment that swapping slots needed to be done amongst the councillors; Cllr P Robinson noted she is now available for the whole of Saturday, not just in the morning.
5. Including the co-sponsoring of the fireworks display, the current cost of the Festival sits at £4873 net of VAT.
EC6/07-23 To discuss the Remembrance Day poppy decorations in the village, to include an update on the lamp post poppies
The Chair presented a list of the lamp post poppy locations which the Deputy Clerk will pass along to the Operatives for reference.
EC7/07-23 To consider the theme for the Methodist Church Christmas tree
Cllr P Robinson advised that the theme was Hymns and Carols and suggested Rudolph the Red Nosed Reindeer to be the theme of the Council’s tree. This was RESOLVED by the committee.
EC8/07-23 To consider additional Christmas decorations for the village
Initial discussions took place and will continue at the August meeting as sources of lit decorations were still being sought.
EC9/07-23 To discuss lighting for the Christmas event (eg lighting for choirs)
The Chair noted she had obtained a number of glow sticks for the children to use. The idea of using portable flood lighting was mentioned and the Deputy Clerk will check if there are any in the Operatives storage and will check hire/purchase costs if not. This item will be discussed again once the decisions are made regarding decorations. The Deputy Clerk will also check if the trophy previously awarded for the lighting competition is in storage and price up a new one if not.
EC10/07-23 To resolve the date of the next Events committee meeting
RESOLVED as Tuesday 22nd August at 10:00am
