MINUTES OF THE MEETING OF THE EVENTS COMMITTEE
Wednesday 17th May 2023 at 1:00pm at the
Church Hall, Church Lane, Chapel St Leonards

EC1/05-23 Election of New Chair
Cllr S Whitmore was re-elected as Chair
EC2/05-23 Apologies for Absence
None.
EC3/05-23 Declarations of Interest

EC4/05-23 To resolve as minutes the record of the meeting held on 19th April 2023
The minutes were RESOLVED and signed by the Chair
EC5/05-23 To discuss and receive an update on the Summer Festival
An update was received on the stall bookings, only one stall remains for rent on the Sunday only. Entertainment was nearly finished being booked; a ukulele band will be sought to play on the Saturday. The trampolines are going to be in place both days per the Chair. The committee liked the blue background leaflet, which will be finalised after the next meeting, and costs for printing will be obtained. The committee felt 25x A3, 100x A4, and 500x A5 leaflets would be sufficient. The staffing rota was updated reflecting the change in members. Financially, the event was currently running at well under £4000.
EC6/05-23 To discuss ideas for the Christmas event
The committee, after comparing options, RESOLVED to purchase connectable pine-cone shaped lighting; measurements will be double checked prior to any order being placed.
A discussion about Remembrance Day occurred and the price of £5 per lamppost poppy was communicated. The committee will do a count of the posts and revert to the deputy clerk with numbers.
A final discussion took place regarding the donation request letters drafted for the local businesses; it was decided that we would not be distributing these letters for 2023.

RESOLVED as Wednesday 28th June at 1:00pm
Having concluded the agenda, the meeting was adjourned at 2:10pm.
